Donation Processor and Receiver Supervisor - Buffalo Warehouse
Position Summary:
The Donation Processor and Receiver Supervisor (DPRS) plays a key role in leading the daily operations of donation processing and production at Hearts Thrift Stores. Supervising a team of 1–10 associates, the DPRS assigns work, trains new team members, monitors quality and production, and ensures merchandise is efficiently received, sorted, and priced for sale. This hands-on role is approximately 80% to 90% production-focused and 10% to 20% supervisory, with responsibilities that include coaching staff, enforcing daily SOPs, and documenting shift activities. The DPRS supports the store’s mission and performance goals—particularly increasing Average Price Per Piece (APP)—by maintaining high standards of product quality and value. While the DPRS leads daily operations, formal HR decisions such as scheduling, written warnings, and terminations are handled by the Retail Manager.
Essential Functions:
- Assign and adjust daily work as directed by protocols and the management team to meet production targets, quality standards, and Average Price Per Piece (APP) goals.
- The Supervisor is responsible for ensuring adequate coverage for their assigned shift. If an employee calls in during the Supervisor’s scheduled shift, the Supervisor must make reasonable efforts to secure coverage by contacting available staff. If coverage cannot be arranged, the Supervisor is expected to fill the shift themselves to maintain operational needs.
- Supervisors are not responsible for managing call-ins or coverage on days when they are not scheduled to work.
- Conduct daily and weekly production audits and report results to the Retail Manager using established digital reporting tools and processes.
- Monitor average tagged prices and review pricing logs to ensure consistency and alignment with value-based pricing strategies.
- Conduct regular audits to verify brand, condition, and style compliance in pricing decisions.
- Use audit findings and pricing data to deliver specific, actionable coaching and feedback to team members
- Provide verbal and signed coaching to team members as part of maintaining high standards and building a positive, accountable work environment. Escalate more serious disciplinary actions, such as written warnings or terminations, to the Retail Manager.
- Identify and limit the processing of low-value (C-brand) items to improve product mix and increase store margins
- Maintain certification to operate electric pallet jack
- Provide updates to the Retail Manager on work delegated to staff, including shift progress, issues, and results, using shared logs or dashboards.
- Train new team members on operational processes, quality standards and safety protocols.
- Follow all cash-handling procedures and assist with retail transactions if needed.
- Open, close, and secure the building when required
- Produce accurate work in a fast-paced environment, meeting or exceeding piece-count goals.
- Perform all production tasks within the processing team as needed, including accepting donations, presorting, and pricing merchandise.
- Welcome donors in a timely and professional manner, ensuring they feel appreciated and understand the impact of their contributions.
- Handle receiving and donation processes with respect and care, including greeting donors, assisting with unloading, sharing the Hearts Thrift Stores story, confirming details, and issuing receipts.
- Screen and accept incoming donations, collecting donor information per company policy to provide proper receipts.
- Recognize quality merchandise and seek guidance from the Retail Manager when needed for pricing decisions.
- Tag, price, and arrange merchandise in the staging area for retail staff according to company policy.
- Keep reception, presort, and processing areas clean, organized, and ready for the next shift.
- Take inventory of needed supplies and communicate needs to the manager.
- Understand and comply with policies and procedures related to donated items, including prohibited items and pricing guides.
- Work with volunteers and provide clear direction and support.
- Act independently and responsibly to perform job duties on a consistent basis, modeling the standards and mission of Hearts Thrift Stores.
- Follow company policies and code of conduct.
- Perform other duties assigned.
Education Requirements and Qualifications:
- High school diploma or GED preferred.
- Experience in retail operations required.
- Proficient in both the Retail Sales Associate and Donation Processor and Receiver positions.
- Reliable and punctual attendance, with availability to work flexible shifts.
- Retail sales experience preferred.
- Experience working with volunteers is preferred.
- Ability to multi-task and function in a fast-paced environment.
- Self-starter with the ability to work independently or as part of a team.
- Ability to stand for long periods of time.
- Must be able to lift and move boxes and bags of donated items up to 35 pounds.
- Electric Pallet Jack Certification - Card required
- Must be able to cover call offs
- This position requires a valid driver’s license and access to reliable transportation. The role involves regular travel between organization locations and may include running errands or completing work-related tasks off-site.
- Employees must maintain a driving record that meets the organization’s insurance and safety requirements.
